Integrations

Pointa integrates with a range of third-party services for customer marketing, online payments, EFTPOS, and accounting.

Pointa integrations are managed from:

Settings > Apps

The individual app setup screens require Administrator access.

Available integrations include:

  • Mailchimp for email marketing

  • Stripe for online payments and deposits

  • Windcave for online payments and deposits

  • Xero for register shift reconciliation

  • Webhooks for custom system integrations

Integrated EFTPOS terminals are related, but they are configured through Payment Types and Registers, not only through the Apps screen.

Before Setting Up Integrations

Best practice is to complete the basic Pointa setup first:

Some integrations also require features to be enabled on the Pointa account. For example, Stripe and Windcave online payments require online sales to be enabled. If Pointa shows a message saying online sales are not enabled, contact Support.

Mailchimp

Mailchimp is used for email marketing.

Before connecting Mailchimp, have the following ready:

  • Access to the business Mailchimp account

  • Permission to connect apps/integrations

  • The Mailchimp audience you want Pointa to sync with

Go to:

Settings > Apps > Mailchimp

If Mailchimp is not connected, click:

Connect to Mailchimp

You will be taken through the Mailchimp connection process. Once connected, select the Mailchimp Audience that should synchronise with Pointa, then click Save changes.

Pointa uses the customer’s email promotions setting to decide whether they should be subscribed. Customers who are marked as receiving email promotions can be added or updated in Mailchimp.

Mailchimp can also update Pointa when a customer subscribes, unsubscribes, or has an email cleaned by Mailchimp.

In practical terms:

  • If a customer is subscribed in Pointa, they can be pushed to Mailchimp.

  • If a customer unsubscribes in Mailchimp, Pointa can update their email promotions setting.

  • If Mailchimp marks an email as cleaned, Pointa can unsubscribe that customer from email promotions.

To disconnect:

Settings > Apps > Mailchimp > Disconnect from Mailchimp

Stripe

Stripe is used for online payments and deposits, such as deposits required during Online Bookings.

Before connecting Stripe, have the following ready:

  • Access to the business Stripe account, or authority to create one

  • Business legal name and trading name

  • Business address and contact details

  • Business/tax registration details, where applicable

  • Details for the authorised representative or business owner

  • Bank account details for payouts

  • Identity or business verification documents, if Stripe requests them

Go to: Settings > Apps > Stripe

If Stripe is not connected, click:

Connect to Stripe

This can be used to set up a new Stripe account or connect an existing Stripe account.

Once connected, Pointa will show the connected Stripe account name.

If Stripe shows that the account needs attention, click Fix now. This usually means Stripe requires additional information before payments can be accepted.

Stripe’s requirements vary by country and business type. See Stripe’s official guide: Required verification information.

To disconnect Stripe:

Settings > Apps > Stripe > Disconnect from Stripe

After Stripe is connected, choose it as the payment gateway in the online booking payment settings:

Settings > Sales > Payments and deposits

You can then choose whether online bookings require:

  • No online payment

  • Full payment

  • A percentage deposit

If using a percentage deposit, enter the deposit percentage and select the payment gateway.

Windcave Online Payments

Windcave can be used as an online payment gateway for online payments and deposits.

Before connecting Windcave for online payments, have the following ready:

  • A Windcave merchant account

  • Windcave username

  • Windcave Restful API key

Go to:

Settings > Apps > Windcave

Turn on Enabled, then enter:

  • Windcave username

  • Windcave Restful API key

For existing Windcave merchants, log in to Windcave and go to:

User Accounts > My User

Your username and Restful API key should be available there.

Windcave login: sec.windcave.com/pxmi3/logon

Click Save changes.

For existing Windcave merchants, the Windcave screen directs users to sign in to Windcave and find these details under:

User Accounts > My User

After Windcave is enabled, select it in:

Settings > Sales > Payments and deposits

Windcave in Apps is for online payments. This is separate from Windcave EFTPOS terminal pairing for in-store POS payments.

Online Payment Gateway Selection

Connecting Stripe or Windcave does not, by itself, decide what customers must pay online.

After connecting the gateway, go to:

Settings > Sales > Payments and deposits

If no payment gateway is configured, Pointa will warn that online payments cannot be accepted.

If one or more gateways are available, choose:

  • Whether online payments are required

  • Which payment gateway to use

  • Deposit percentage, if using percentage deposits

A booking may show as deposit pending while the customer is completing online payment.

Xero

Xero is used to reconcile register shifts.

Before connecting Xero, have the following ready:

  • Access to the correct Xero organisation

  • Permission to connect third-party apps

  • A decision on which Xero accounts should receive each Pointa payment type

Go to:

Settings > Apps > Xero

If Xero is not enabled, click:

Enable Xero

You will be taken through the Xero connection process. If the Xero login has access to more than one organisation, select the correct Xero organisation and continue.

Once connected, Pointa will show the connected Xero account name.

Xero login/app access starts from Xero’s own account system: login.xero.com and Xero App Store.

You must then map Pointa payment types to Xero accounts.

Pointa shows mappings such as:

  • Cash payment account

  • EFTPOS payment account

  • Online payment account

  • Other payment account

Choose the appropriate Xero account for each payment type, then click Save changes.

Pointa uses these mappings when sending register shift totals to Xero.

Xero integration is based around closed register shifts. When a register shift is closed, Pointa can generate authorised invoices in Xero for the shift totals. These are grouped by payment type and, where relevant, card/payment breakdown.

Best practice: if using Xero, close the register at the same time as end-of-day cash up and EFTPOS settlement. If registers are left open for long periods, the Xero reconciliation process will be less tidy.

If Pointa shows that Xero needs reauthorisation, click:

Reauthorize

This means the Xero connection needs to be refreshed before Pointa can continue syncing.

To disconnect:

Settings > Apps > Xero > Disconnect

Integrated EFTPOS

Integrated EFTPOS is configured differently from online payment gateways.

Before pairing an integrated EFTPOS terminal, have the terminal provider details ready:

  • Smartpay: pairing code from the EFTPOS terminal

  • Verifone: terminal serial number

  • Windcave EFTPOS: HIT username, HIT key, and station ID

You may need to get the provider to enable integration on your EFTPOS terminal before it can be connected to Pointa.

First create the payment type:

Settings > Payment Types > Add Payment Type

Choose the correct type, such as:

  • Manual EFTPOS

  • Smartpay

  • Verifone

  • Windcave

Manual EFTPOS is used when the payment is processed on a separate EFTPOS terminal and manually recorded in Pointa.

Smartpay, Verifone, and Windcave are integrated EFTPOS types. These allow Pointa to communicate with the terminal during checkout.

After creating the payment type, enable it on the register:

Settings > Branches & Registers > select register > Payment Types

Turn on the payment type for that register.

For integrated terminals, Pointa will ask for pairing details:

  • Smartpay: pairing code from the EFTPOS terminal

  • Verifone: terminal serial number

  • Windcave: HIT username, HIT key, and station ID

Once paired, integrated EFTPOS payments in POS will prompt staff to follow terminal instructions. Pointa may also display terminal messages or button prompts during the payment.

Only one payment type of each core terminal type can exist, such as one Smartpay payment type or one Windcave payment type.
